Education and coaching

WhatsApp for education, so every parent reaches the right desk

Admission enquiries, replies to fee reminders and parent group messages arrive in one shared inbox. Each message gets a category, so counsellors, teachers and the accounts desk see what is meant for them, on every branch number.

Class groups

In busy class groups, questions for the school stand out

Notices go to class groups and saved parent lists, and replies come back to the inbox. When a parent mentions the school in a group, a flagging rule highlights the message for the teacher, who reacts with an emoji to turn it into a ticket.

  • Groups beside one-to-one chats. On a QR-connected number, every class group the number is in syncs into the inbox.
  • Mentions flagged. A rule highlights group messages that mention the school, so teachers can skip the greetings.
  • React to raise a ticket. React with your agreed emoji and the message becomes a ticket with an owner.

On a Business API number, Meta allows only groups of up to 8 participants for Official Business Accounts, so large parent groups need the QR connection.

The family journey

Every stage of a family’s journey, handled from one inbox

Each stage shows the chat a school or coaching centre has at that point, and how the team handles it in Risponse.

Evening enquiries get an answer, and a counsellor by morning

A parent asks about seats, timings and a scholarship test at 9:40 pm. The AI agent answers what your knowledge base covers and leaves the rest in a private note. A round robin rule makes a counsellor the owner, so the chat is picked up first thing.

  • Answers from your own material. The agent replies from the FAQs and documents in your knowledge base, such as your prospectus and batch timetable.
  • Hand-offs as private notes. When a question is not covered, the agent mentions a counsellor in a note the parent never sees.
  • A counsellor for every new chat. Round robin hands new enquiries to counsellors in turn, so none sits unclaimed until morning.

Demo classes, forms and documents, all in the family’s chat

After the enquiry, the counsellor sends a booking link for a demo class or a campus visit. When the family decides to apply, an admission form follows in the same chat, and a note asks the office to check the documents before the seat is confirmed.

  • Demo class and visit links. The parent picks a demo class or a campus visit without a round of phone calls.
  • Admission forms. Collect the student’s details in a single form, not across a long thread of messages.
  • Tasks for the office. Make a task from the message with the document photos, then give it an owner and a reminder.

Replies to fee reminders land with the accounts desk

The monthly reminder goes out to each class list. When a parent writes back about paying, a receipt or a payment plan, the message is tagged for Accounts and joins that desk’s timeline from any number. The desk replies with a payment link in the same chat.

  • Tagged by message. A parent’s fee question reaches Accounts even when the same chat also holds an admission query.
  • One timeline for the desk. Fee messages from every class list and branch number appear in one place.
  • Replies in the parent’s language. Translation shows the parent’s message in English, and the parent gets your reply in their own language.

The school year

Admissions, fees and notices keep the office number busy all year

Each part of the year brings a different kind of message. Here is how a shared inbox handles each one.

  1. Admission season

    A counsellor for every enquiry

Before A parent asks about fees and batch timings in the evening. By the time the office replies the next day, they may have enquired somewhere else.

Now Evening enquiries get an answer from your prospectus and FAQs straight away, and the next counsellor in turn picks up the chat.

  2. Term start

New parents in every class group

Now Where the school number is an admin in each class group, add a new parent to all of their groups in one step. Export member lists to check who has joined.

  3. Every month

    Fee reminders that repeat

Before Someone pastes the same reminder into chat after chat every month, and a few families still say they never received it.

Now Write the reminder once, add a variable for each student’s name and choose a monthly repeat. The logs show who received it, and you can retry any message that failed.

  4. Every school day

    Questions in groups stand out

Before Questions in class groups scroll away under greetings and forwards. A teacher misses the one message that actually needed an answer.

Now The teacher sees the flagged question first and can pass it to the office as a ticket with one emoji.

Use cases

How schools and coaching centres use a shared WhatsApp inbox

The same setup works for one coaching centre or a group of schools, and each idea below links to the feature that runs it.

  • Admission enquiries
  • Demo class bookings
  • Admission forms and documents
  • Counsellor call-backs
  • Monthly fee reminders
  • Fee payment links
  • Fee receipts and queries
  • Exam and holiday notices
  • Class and parent groups
  • Absence and leave notes
  • Course answers after hours
  • Branch and campus numbers
  • Enquiries logged in your CRM

Link an enquiry chat to a contact in HubSpot or Zoho CRM, and new WhatsApp messages are saved on that record. Admissions staff see the conversation without copying it across.

    WhatsApp CRM
  • Answers that improve each term

Self-training reads chats your counsellors marked as resolved and drafts new FAQs from their answers. Set drafts to wait for your review, so the agent uses only what you approve.

    Self-training
  • One inbox for every branch

Connect each branch or campus number and give staff access by label. A counsellor at one centre sees that centre’s chats, while head office sees them all.

    Team access and roles
  • An alert when an enquiry waits too long

Set a reply target for admissions, such as two hours. If a parent waits longer, a rule emails the admissions head so someone steps in.

FAQ

WhatsApp for education and coaching: your questions answered

Still unsure? Email us and a person from our team will reply.

How do schools and coaching institutes use WhatsApp?

Admissions teams answer enquiries, the accounts desk sends fee reminders and teachers share notices in parent groups. Risponse lets the office, counsellors and teachers work those chats together from one inbox, and each person sees only the chats you share with them.

Team access and roles
Can we send fee reminders to all parents on WhatsApp?

Yes. Send a bulk message to a saved list such as Class of 2026, with the student’s name as a variable, and set it to repeat monthly. Message only families who agreed to updates, keep a gap between sends and watch the logs, since WhatsApp can restrict numbers that people block or report.

Repeating bulk messages
Can we manage parent and class WhatsApp groups in Risponse?

Yes, as long as the school number is connected by scanning a QR code. Every class group it belongs to syncs in, staff get an alert when the school is mentioned, and any group message can be turned into a ticket. When the number is an admin of each group, you can add one contact to many groups at once. On a Business API number, Meta allows only groups of up to 8 participants for Official Business Accounts, so large parent groups need the QR connection.

Group management
How many parents can we message per day on the WhatsApp Business API?

Meta caps how many unique people a business portfolio can message in a rolling 24 hours, and every number in the portfolio shares that cap. New accounts start at 250. The cap then steps up to 2,000, 10,000, 100,000 and unlimited as verification, quality and volume grow.

Meta’s messaging limits
Can teachers reply without seeing parents’ phone numbers?

Yes. Add teachers as members, give each one the label for their class and switch on number masking. Teachers then reply to parents as usual, while phone numbers stay hidden inside Risponse.

Number masking
Can the AI agent answer admission questions at night?

Yes. Add your FAQs and prospectus to the knowledge base and set the hours you want the agent to cover. It waits before replying so a counsellor can answer first. Anything it cannot handle goes to a person as a private note or a ticket.
