Group management

WhatsApp group management for business, inside your team inbox

On a QR-connected number, every group the number is part of syncs into Risponse next to your one-to-one chats. Catch mentions, turn requests into tickets, and message many groups or add a contact to them in one step.

What is WhatsApp group management for business?

WhatsApp group management for business means running customer, dealer and partner groups as shared team work instead of on one person’s phone. In Risponse, groups on a QR-connected number sync into the shared inbox. From there, your team can catch mentions and keywords with rules, track group requests as tickets, export member lists and add one contact to many groups where your number is an admin.

The problem

Busy groups bury the messages that need you

  • Requests scroll out of sight

In a group of fifty dealers, a question about a missing invoice is gone from view after a few more messages.

  • Mentions reach one phone

When someone tags your business in a group, only the person holding that phone sees it, and only if they happen to look.

  • Member changes, one group at a time

Adding a new partner to ten groups means opening ten groups and adding them by hand, again and again.

Tickets from groups

Turn a group message into tracked work

When a group message needs follow-up, make it a ticket from the message menu or with an emoji reaction. The ticket stays linked to the chat and can carry an owner, a priority and a due date, so the request no longer depends on someone scrolling back.

  • From the message menu. Right-click or press and hold a message, create a ticket, and set the owner, priority and due date.
  • From an emoji. Agree on one emoji. A reaction creates a ticket, or adds the message to the chat’s open ticket.
  • For the person mentioned. A rule can open a ticket for whoever is mentioned in a group.
  • Tasks for small follow-ups. Make a task from a message, such as calling a dealer back at 4 pm, with a reminder.

Groups and connection types

Full group support needs a QR-connected number

What you can do with groups depends on how a number connects. A QR-connected number brings in every group it belongs to, including large groups and the ones you already run. Meta’s Groups API for Business API numbers is much narrower, and coexistence numbers do not sync groups.

  • QR code. Read, reply, flag and turn group messages into tickets, just like one-to-one chats.
  • Business API. Only for Official Business Accounts. Each group holds up to 8 participants, and people join by invite link only.
  • Coexistence. Groups do not sync, and coexistence numbers cannot use groups through the API.

How it works

Bring your groups in and share the load

  1. 01

    Link the number

Scan the QR code with the phone that is in your groups. The number’s chats and groups sync into Risponse.

  2. 02

    Set your rules

Add rules that flag mentions and keywords, or open a ticket when someone is mentioned in a group.

  3. 03

    Work groups as a team

Teammates reply from Risponse with their name on every reply, and you can add one contact to many groups in a single step.

Group management: your questions answered

Still unsure? Email us and a person from our team will reply.

Can I manage WhatsApp groups from a team inbox?

Yes, when the number is linked with a QR code. Every group the number belongs to syncs into Risponse, and your team reads and replies there next to one-to-one chats. Admins see every group on your connected numbers, and members see the ones shared with them by label.

Can I add members to WhatsApp groups from Risponse?

Yes, when the connected number is an admin of the group. You can also select several groups and add one contact to all of them in one step. For larger numbers of people, an invite link is gentler on your number than adding everyone directly, so keep direct adds to small batches.

Best practices
Do WhatsApp groups work on the Business API?

Only in a limited way. Meta’s Groups API is open to businesses with an Official Business Account. Each group can have at most 8 participants, and people can only join through an invite link. Coexistence numbers cannot use groups through the API. For large or existing groups, connect the number with a QR code.

How do I get WhatsApp group mention alerts?

Set up a flagging rule for messages that mention someone, and the message is highlighted for that person. Pair it with a rule that opens a ticket for whoever was mentioned, or one that replies to confirm the request was received.

Automated flagging
Can I export a WhatsApp group’s member list?

Yes. Select groups in the chat list and export them, or use the data exports page for chats and group members. Member exports from the chat list may arrive as an XLSX file, and the activity history export shows membership changes over time.

Data exports
Can I send one message to many WhatsApp groups?

Yes. A bulk message can go to contacts and groups, and you can save a set of groups as a named list to reuse. Send now, later or on a repeat, and keep it to groups that expect your updates, because blocks and reports can get a number restricted.
