Clinics and healthcare

WhatsApp for clinics, so reception and doctors work from one inbox

Reception books visits and sends reminders from the clinic’s shared number. Doctors see just the chats labelled for them, and number masking can hide patient phone numbers from front-desk staff.

  • Zoho CRM
  • Freshdesk
  • Google Sheets
  • Zapier
How each one helps

Who sees what

Reception, doctors and billing, each with their own view

Each person sees the chats shared with them. An admin can open any chat to check who has access.

  • Reception

Books visits and sends reminders from the clinic’s shared number. With number masking on, staff see the patient’s name and every message, while the phone number stays hidden.

  • Doctors

Invite doctors as members and give each one a label. A doctor’s inbox then holds only chats with that label, which reception adds when a question is for them.

  • Billing

A teammate reacts to the request with the agreed emoji, and a ticket opens for billing. The rule can give each ticket to one person or share them between billing team members in turn.

You still need to follow the health privacy rules that apply where you work.

A day at the front desk

Four messages a clinic gets and who answers each one

A booking before opening time, a patient running late, a report question and a bill copy. Choose a time to see the chat and how reception, doctors and billing share it.

Booking requests turn into a slot the patient picks

Patients write to book at all hours. Before reception opens, a rule replies with your opening time. Once the desk is in, new chats are shared between the receptionists on shift, who reply with a booking link and, if you take the fee in advance, a payment link.

  • Replies before opening time. A rule answers early and late messages with your opening time and where to go if it is urgent.
  • Chats shared by shift. Round robin gives new chats to receptionists in turn, but only to those on shift and online.
  • Booking and payment links. Pick either one from the message box, and the booking stays in the patient’s own chat.

The reminder is scheduled at booking, so nobody has to remember it

Once the slot is agreed, reception records the visit time and type as custom properties and schedules a reminder for the day before. If the patient replies that they will be late, a private note tells the doctor’s assistant, who can change the order of the list.

  • Scheduled reminders. Write the message once and pick the date and time it should go out from the clinic number.
  • Visit details as properties. Fields such as visit time and visit type sit beside the chat, and reception can filter by them.
  • Notes the patient never sees. Mention a colleague with @ to pass on a late arrival or a special request.

Report questions reach the doctor, not the whole desk

A patient sends a test report and asks whether they need another visit. Reception adds the General medicine label, so the chat shows up for the doctor who holds that label, and leaves a note on what the patient asked. The doctor replies between consultations.

  • A note that briefs the doctor. Reception sums up the question and mentions the doctor, so nobody has to read the whole chat again.
  • Summaries of long chats. AI can sum up weeks of messages in a few lines before the doctor writes back.
  • Report links that expire. With media privacy on, a report link shared outside Risponse stops working after the time you choose.

Reviews and billing questions each get an owner and a date

After the visit, reception turns the doctor’s review request into a task with a due date and a reminder. When a patient asks for a bill copy for an insurance claim, a teammate reacts with the agreed emoji and a ticket opens for billing, linked to the chat.

  • Tasks for review visits. Each task links back to its message, so one click opens the patient’s chat.
  • Tickets from a reaction. An emoji rule opens the ticket and can hand tickets to the billing team in turn.
  • Suggested replies. Ask AI for a draft based on the chat, then check it before you send.

What changes

Patients message the clinic the way they message family

Booking requests, report photos and follow-up questions arrive on WhatsApp, often after hours. One reception phone cannot carry all of it with care.

  1. Before

    One phone at reception

Whoever holds the phone can read every chat, including the ones meant for a doctor. Handovers between shifts happen from memory.

    With Risponse

    One clinic number, many screens

Reception works the clinic number from Risponse on their own computers, not from one handset, and every reply shows who sent it.

  2. Before

Sensitive files in a busy chat list

Reports, prescriptions and ID photos arrive as attachments. Anyone with the phone can scroll back to them, and copies are hard to keep track of.

    With Risponse

    Report links that expire

Each member sees only the chats shared with them through a label. With media privacy on, a report link shared outside Risponse stops working after the time you choose.

  3. Before

    No-shows and missed follow-ups

Appointment reminders depend on someone remembering to send them. Review visits slip when nobody owns the follow-up.

    With Risponse

    Scheduled reminders

Schedule the reminder when you book, and it goes out from the clinic number at the time you pick. Review visits become tasks with an owner and a due date.

  • Patients who write in another language

Translation shows each message in your team’s language and sends replies back in the patient’s. For doses, dates or anything sensitive, ask a colleague who speaks the language to check.

    AI translation
  • Late replies escalated to the clinic manager

Choose how long a patient should wait for a reply at most. Past that point the clinic manager gets an email, and a later step can alert the owner too.

    Automated escalation
  • Every branch on one screen

Each branch keeps its own number, and the chat list marks which one a patient wrote to. If someone has messaged two branches, you pick the number that replies.

    Multiple numbers
  • Routine answers, medical questions handed over

The AI agent answers timings, location and fees from your knowledge base. Restrict it from medical topics, tell it to hand those chats to staff, and review what it sends.

Booking, payment and video apps, reached with your clinic’s own account

These apps are not built into Risponse. Connect each one with your clinic’s own account: the Risponse AI agent can look up a free slot or a payment through the app’s MCP server or API, and a Zap can pass a new ticket on to an app.

Through Eka Care’s MCP server, the AI agent can look up a doctor’s free slots for the day a patient asks about.

FAQ

WhatsApp for clinics and healthcare: your questions answered

Still unsure? Email us and a person from our team will reply.

How do clinics use WhatsApp for appointments?

Patients message to book, move or cancel a visit, and the clinic replies with a slot and a reminder. In Risponse, reception sends a booking link from the chat and schedules the reminder for the day before. Every message sits in a shared inbox, so any receptionist can pick up the conversation.

In-chat actions
Is it safe to share patient information on WhatsApp?

That depends on the health privacy rules where you work, and your clinic must follow them. Label-based access, number masking, media privacy and private notes help, but the decision about what belongs on WhatsApp stays with your clinic. Agree a clear policy with your team before you start.

Media privacy
Can each doctor see only their own patients’ chats?

Yes. Invite doctors as members and share chats through a label, such as one per doctor. A member sees only the chats with their label, and admins can open any chat to see the list of people who can view it.

Team access and roles
Can reception staff work without seeing patient phone numbers?

Yes. With number masking on, members see the patient’s name and the full chat, but not the digits. Masking cannot hide a number that a patient types into a message, so treat it as one layer of protection.

Number masking
Can one inbox cover several clinic branches?

Yes. Connect each branch number and work them all from one inbox, where every chat shows the number it came through. Give staff a label for their branch, so they see only their own location’s chats.

Branch numbers in one inbox
Can we export patient chats for our records?

Yes. You can export chats, messages, private notes, tickets and a history of label and assignee changes, usually as CSV files that open in a spreadsheet. Those files hold patient messages and numbers, so keep them somewhere safe and limit who can open them.
