Financial services and insurance
WhatsApp for financial services, with KYC, claims and renewals in one shared inbox
Give every lead an advisor, chase documents and track claims as tickets. Admins decide who sees which chats, agents can work without seeing phone numbers, and chats, notes and tickets can be exported.
Who did what, and when
Customers expect WhatsApp. Your process needs a record.
Lenders, insurers and advisors already answer customers on WhatsApp. On personal phones, nobody can see what was promised, by whom, or when.
-
Customer chats on personal phones
Relationship managers answer from their own handsets. If a manager resigns, the firm can lose the chat history and the client contacts with them.
-
Documents scattered across chats
KYC papers, policy copies and claim photos arrive as attachments. Finding the latest version means scrolling through chat after chat.
-
No clear trail
When a customer disputes what they were told, the team has to rebuild the story from screenshots and memory.
Your firm still decides what it may send on WhatsApp and must follow the rules that apply to it.
Customer journey
Three moments with a borrower or policyholder, and who handles each one
Each stage shows one conversation, from a loan enquiry to an insurance renewal, and who on the team picks it up.
Give each new lead an advisor and a call slot
A prospect asks about a home loan on the sales number. A round-robin rule gives the chat to the next advisor who is on shift and online, and a new chat can create a HubSpot or Zoho CRM contact by itself. The advisor replies with a booking link for a call.
- Advisors take turns. Round robin spreads new chats across the team and can skip anyone who is off shift.
- A CRM contact from the first message. Turn on automatic record creation in HubSpot or Zoho CRM if every chat should have one.
- A call slot picked in the chat. Send a booking link and let the lead choose a time to talk.
Track claims and requests until someone closes them
Claims, nominee changes and statement requests rarely end in one reply. Open a ticket from the message, tag the claims lead in a private note and ask AI to draft the update. Tickets can also go to Zoho Desk or Freshdesk if part of the team works there.
- Fields that must be filled. Make claim type required, so no ticket closes without it.
- A colleague tagged in private. An @mention in a note brings in the claims lead, unseen by the customer.
- Synced to your helpdesk. Tickets created in Risponse can also appear in Zoho Desk or Freshdesk.
Remind customers before renewal, then share the premium link in chat
A month before renewal, send one reminder to that month’s saved list, with each name and date filled in. Leave out anyone who has not opted in. Replies land in each customer’s chat, where the agent sends the premium link. Business API numbers can also use Meta-approved templates.
- A list for each month. Save each month’s renewals as a list, then duplicate last month’s broadcast and swap in the new list.
- Names and dates filled in. Variables fill in each customer’s name and renewal date, with a fallback for any blank.
- Spaced-out sending. Add a gap between messages, then check the delivery log and retry only the failures.
KYC follow-up
See who still owes a document, and ask in the same chat
Keep KYC status as a dropdown property, and a filter on Documents pending shows who to chase today.
- A form for the basics. One form gathers the applicant’s details, instead of a string of questions.
- Status you can filter. A single-select property such as Documents pending, Under review or Verified.
- Files behind sign-in. Turn on media privacy so copied links to ID documents expire after the time you set.
Use cases
How lenders, insurers and advisors use WhatsApp with clear ownership
Here is where Risponse fits into the day of lenders, insurers and advisors, from masked numbers to repeat reminders.
- Lead follow-ups
- Advisor call booking
- KYC document follow-ups
- Application status updates
- Claim intake and tracking
- Nominee and address changes
- Statement and receipt requests
- Policy renewal reminders
- EMI and premium reminders
- Relationship manager handover
- Masked numbers for agents
- Chat and ticket exports
-
Masked numbers for call centre teams
Each member works only in chats tagged with their label, and number masking hides the digits. It also suits outside contractors and desks where staff change often.
Number masking -
The same record in your CRM
Link each chat to its HubSpot or Zoho CRM record, so advisors and operations read the same conversation. Once logging is on, fresh messages are added to that record, but earlier ones are not.
HubSpot integration -
Key clients reach their manager
A rule forwards messages from priority clients straight to the relationship manager who owns the account, with a short note, so they skip the general queue.
Automated escalation -
EMI reminders that repeat
Schedule a monthly reminder in each borrower’s chat a few days before the EMI date. Give it an end date for the last instalment, and edit or delete it from the chat’s schedule list.
Scheduled messages -
Backlog checks for supervisors
Ticket metrics show unassigned and unresolved claims and how old each agent’s open tickets are. For the monthly review, export tickets and activity history to a spreadsheet.

Apps your firm uses
Payment, KYC, e‑sign and CRM apps, connected with your own account
These apps are not built into Risponse. Each has an API, an MCP server or a Zapier app that you reach with your own account. The AI agent can then check a status while it answers, or a Zap can pass new chats on.
-
Check EMI and premium payments

The AI agent can check whether an EMI or renewal premium payment link has been paid.

Send new leads to a lending CRM

When a new chat starts, a Zap can add the enquiry as a lead in LeadSquared, where your loan team follows it up.
- Zapier
-
You choose which tools the AI agent may use. Turn on lookups first, which only read. Before the agent shares any payment, KYC or signing status, decide how your firm confirms it is talking to the right customer. A developer usually sets up a custom tool.
- MCP connector The AI agent uses the app’s MCP server, signed in with your account, and only the lookups and actions you turn on. How it works : MCP connector
- Custom tool (API) The AI agent calls a web API with a key or token you add, for example to check a status. How it works : Custom tool (API)
- Zapier A new chat, message or ticket in Risponse starts a Zap that sends it on to the app. How it works : Zapier

FAQ
WhatsApp for financial services: your questions answered
Still unsure? Email us and a person from our team will reply.
How do lenders and insurance companies use WhatsApp?
Common uses are document follow-ups, renewal and payment reminders, claim updates and answers to service questions. Risponse lets the whole team work those chats from one inbox, with tickets for claims and a record of who replied.
WhatsApp ticketing systemCan a financial services firm use WhatsApp for customer communication?
That depends on the rules your regulator sets for customer communication, consent and record keeping, and your firm must follow them. Risponse gives you tools such as label-based access, number masking, media privacy, private notes and exports. It does not decide what you may send or keep. Check your internal policies before you start.
Team access and rolesCan we hide customer phone numbers from our agents?
Yes. Number masking hides customer phone numbers from members, and you can hide your own business number as well. Agents still read the whole conversation and reply normally, but only in chats that carry their label.
Number maskingCan we export WhatsApp chats for an audit?
Yes. Data exports cover chats, messages, private notes, tickets, connected numbers and activity history such as label, assignee and membership changes. Most files are CSV, and large exports can be emailed to you. Store them safely, because they hold customer messages and numbers.
Data exportsCan we send renewal reminders as WhatsApp templates?
Yes, on a Business API or coexistence number. Templates need Meta’s approval and fall into marketing, utility or authentication categories, and Meta bills each delivered message by category and country. Sending is also capped per business portfolio: 250 unique recipients per rolling 24 hours at first, rising with verification, quality and volume.
Meta’s template guideCan a financial firm apply for the WhatsApp blue tick?
Meta decides who receives the Official Business Account badge, and there is no fee. Its current criteria include Business Verification, two-step verification, an approved display name, at least 30 days on the platform and following Meta’s policies. Business app numbers, including coexistence numbers, cannot have it, and no tool can promise it.
