What is a WhatsApp shared inbox?

A WhatsApp shared inbox lets a team share one WhatsApp number. Learn what it is, how it works, and when your business needs one.

In short: A WhatsApp shared inbox is a platform that lets multiple people read and reply to messages on one (or more) WhatsApp numbers, without sharing a phone or a login.

Definition

A WhatsApp shared inbox is a web app where your whole team, from sales and support to billing or any other department, works on the same WhatsApp number together. Each person signs in with their own account, sees the chats shared with them, and replies from a shared workspace.

The customer sees one continuous WhatsApp conversation. Behind the scenes, your team sees who owns each chat, who sent each reply, and what the next step is.

Why it exists

A WhatsApp account starts on one phone. The WhatsApp Business app can link up to four more devices, or more on some paid Meta Verified plans (as of October 2026), but every device uses the same account. When a business number grows past a handful of daily messages, this set-up breaks down:

  • Leads go cold while enquiries wait unassigned, with no owner and no follow-up.
  • Customers repeat themselves every time a chat moves between people or departments.
  • Relationships sit on personal phones, and customer history leaves when an employee does.
  • Leaders are in the dark, with no view of response times or open queries.

A shared inbox is built to fix each of these problems.

How it works

There are two common ways to connect a number to a shared inbox:

  1. QR-code connection. You scan a QR code from the business phone, the same way you link WhatsApp Web. The inbox becomes a linked device on that number, and the phone keeps working as before. It works with a regular WhatsApp or WhatsApp Business app number, so you do not need a Business API account.
  2. WhatsApp Business API. A connection to Meta’s WhatsApp Business Platform, which is built for messaging at scale. With the Cloud API, Meta hosts the API for you. You need it to send message templates, the only messages you can send outside the 24-hour customer service window. Only API numbers can request an Official Business Account, which shows a blue checkmark. Business app numbers can apply for a verified badge through a paid Meta Verified plan where it is offered. In both cases Meta decides who is verified.

Once connected, the inbox hands incoming chats to the right people, tracks reply times, and keeps the chat history in one place.

Key features to look for

Feature Why it matters
Chat assignment Each open chat has one owner, so fewer replies get doubled up
Private notes Teammates comment on a chat without the customer seeing
Sender tags Every reply sent from the inbox is labelled with who sent it
Department timelines Sales sees sales chats; support sees support chats
Multi-number support Manage several numbers from one screen
Roles and permissions Agents see only the chats you share with them

When does a business need one?

You need a shared inbox when:

  • More than one person answers WhatsApp, and you’re passing a phone.
  • Customers wait because the right person isn’t available.
  • You manage multiple WhatsApp numbers for different offices or brands.
  • You want to track response times or build a ticket-style workflow.

For a single person handling a low volume of messages, the WhatsApp Business app and WhatsApp Web are often enough. Once a second person starts answering the same number, a shared inbox starts to make sense.

Shared inbox vs WhatsApp Business app

The WhatsApp Business app runs on one phone with a few linked devices (four, or more on some paid Meta Verified plans), and everyone on those devices uses the same account. It has a business profile, away messages, and quick replies. That suits a sole trader or a very small team.

A shared inbox is a separate platform that sits on top of WhatsApp (via QR or API). It adds the team layer: a separate sign-in for each teammate, assignment, history, reporting, and integrations with CRMs.

  • WhatsApp team inbox: the product category. A shared inbox built for teams, with departments and roles.
  • Message categories: a way to sort incoming messages by department (sales, support, billing) inside the inbox.
  • WhatsApp coexistence: running the WhatsApp Business app and the Business API on the same number at the same time.
  • WhatsApp Business API: Meta’s platform for messaging at scale, templates, and integrations.
