In short: The WhatsApp Business API is Meta’s official way to connect WhatsApp to business software. Meta calls it the WhatsApp Business Platform. Businesses use it to send message templates, handle high message volumes, or connect WhatsApp to a CRM or team inbox.

Definition

The WhatsApp Business API, often shortened to the WhatsApp API, is a set of APIs from Meta that let businesses connect WhatsApp to external software: team inboxes, CRMs, chatbots, automation tools and more. Meta’s own name for it is the WhatsApp Business Platform, and the API most businesses connect to is the Cloud API, which Meta hosts.

The WhatsApp Business app runs on a phone, with up to four linked devices, or up to ten with a paid Meta Verified subscription where it is offered (as of October 2026). The API works differently. Software sends and receives messages through Meta, so no phone app is involved. It is designed for teams and automation, not for a single person.

What you can do with the API

  • Send message templates. These are messages Meta reviews and approves before you can use them. They are the only messages you can send outside the 24-hour customer service window, which opens each time a customer messages you. Useful for order confirmations, appointment reminders, and payment links. Every template is marketing, utility or authentication (Meta’s template guide).
  • Connect to a team inbox so multiple agents answer from one number.
  • Build chatbots and AI agents that reply automatically and hand off to a human.
  • Receive webhooks. These are real-time notifications about incoming messages, the status of messages you send, and changes to your templates or account (Meta’s webhooks guide).
  • Integrate with CRMs, ticketing systems, and data platforms.
  • Apply for the blue tick (Official Business Account status). It shows a blue checkmark beside your business name. Meta reviews each request and decides (Meta’s OBA page).

How to get access

There are two ways in. A business can build its own app on Meta’s developer platform and connect to the Cloud API directly (Meta’s get started guide). Or it can use software from a company that builds on the platform for other businesses. Meta calls these companies Solution Partners and Tech Providers.

Steps:

  1. Choose how you will connect: your own app, or a platform that connects to the API for you (like Risponse).
  2. Have a Meta business portfolio and a WhatsApp Business account. You can create both during setup.
  3. Add a phone number you own. Meta asks for a display name and a two-step verification PIN (Meta’s phone number guide).
  4. Verify your business with Meta when you want to grow. Business Verification is one way to raise your messaging limit, and the blue tick requires it.

If a number already has a WhatsApp account, that account must be deleted before the number can join the API. After that, it no longer works in the regular WhatsApp or Business app. The exception is coexistence: a number on the WhatsApp Business app (version 2.24.17 or later) can use the app and the API at the same time (Meta’s coexistence page).

Pricing

Meta charges per delivered message, not per conversation. Per-message pricing replaced conversation-based pricing on 1 July 2025. The rate depends on two things: the message category and the recipient’s country.

  • Template messages fall into three categories: marketing, utility and authentication.
  • Service messages are the free-form replies you send inside the 24-hour customer service window.

Messages your customers send you are free. As of October 2026, each business phone number gets 1,000 free delivered service messages a month, and Meta bills service messages after that. Utility templates sent inside the customer service window are also billed from 1 October 2026. Meta can update rates on the first day of each quarter, so check Meta’s pricing page for current rates in your country.

Platforms that connect to the API (like Risponse) have their own plans, separate from Meta’s message charges. See Risponse pricing.

When do you need the API?

You need the API when:

  • You want to send message templates to customers who haven’t written to you recently.
  • You want a number that is not tied to a phone app.
  • You want to build your own automation, chatbot or CRM connection on Meta’s official API.
  • You want to apply for the blue tick. Meta does not grant it to Business app numbers.

If you handle a low message volume and one person manages WhatsApp, the Business app may be enough. You can also start with a team inbox linked by QR code, with no API needed (how Risponse connects a number). Later, you can add the API. If the number is on the WhatsApp Business app, coexistence lets you add the API and keep using the app on the same number.
